1. Who we are

2. Information we collect

When you use the WhatsApp assistant, we may process your WhatsApp phone number and display name; country or region you provide; animal species and herd size; messages, voice notes and images; the assistant's responses; message timestamps; feedback; and service-usage counts.

When you use this website and allow analytics, we may process device and browser information, approximate location, pages viewed, interactions and referral information. Essential local storage records your cookie choice.

3. Information we do not intentionally request

We do not need your national identity documents, passport details, payment-card information, exact home address or land-ownership records to provide the WhatsApp service. Please do not send information that is unnecessary for your livestock question.

4. Why we use information

• To provide and maintain the WhatsApp assistant.
• To remember context and personalise guidance for your animals and location.
• To review quality, investigate errors and improve safety.
• To answer support, access, correction or deletion requests.
• To protect the service against misuse and security threats.
• To create aggregated or anonymised research and market insights.
• To measure website use where you have allowed analytics.

5. Providers and international processing

Information may be processed by Meta and WATI for WhatsApp messaging; Anthropic for generating responses; OpenAI for transcribing voice notes; Google Sheets for internal conversation logging; Google Analytics and Meta Pixel where website analytics consent is given; and Vercel for website hosting. These providers may process data outside your country. We use provider terms and safeguards appropriate to the service and restrict access to authorised purposes.

6. Human review and sharing

Authorised Greener Herd team members may review samples of conversations and feedback for quality and complex cases. We do not sell identifiable conversation data. We may share aggregated or anonymised insights with research, development, animal-health or nutrition partners where individuals are not intended to be identifiable. We may also disclose information where required by applicable law.

7. Retention and security

Our working retention schedule is:

• WhatsApp contact details, identifiable conversation text, assistant responses and herd context: up to 24 months after your last interaction, then deleted or anonymised.
• Original images and voice notes: up to 90 days after receipt, unless temporarily required to investigate a safety, support or legal issue.
• Farm-onboarding and partnership enquiries that do not become an active engagement: up to 24 months after the last contact.
• Contracts, invoices and transaction records: for the period required by applicable accounting, tax or legal rules.
• Aggregated or irreversibly anonymised statistics: may be retained for longer because they are no longer intended to identify an individual.

Shorter or longer periods may apply where you request deletion, a legal obligation requires retention, or a record is needed to establish or defend a legal claim. We apply reasonable access controls and security measures, but no online service can guarantee absolute security.

8. Your choices, rights and deletion procedure

You may ask to access, correct or delete your personal data, restrict or object to certain processing, withdraw consent, or receive information about relevant transfers. Email info@greenerherd.com from the address connected to your account, or contact us from the relevant WhatsApp number.

We will verify that the request relates to you, search the systems we control, and aim to complete a valid deletion request within 30 days. We will delete or de-identify the relevant production records and instruct applicable processors to do the same. Residual copies in provider logs or backups may take up to 90 days to expire. We will confirm completion or explain any information we must retain by law. Data that has already been irreversibly anonymised cannot be linked back to you for deletion.

9. Legal framework

Greener Herd is based in the UAE. This notice is designed around the UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data and may be supplemented where another law applies to a user.

10. Changes

We may update this notice as the service or providers change. We will post the new date here and provide additional notice where a material change requires it.
